Upper Mt Gravatt Kindergarten is a not-for-profit kindy, affiliated with Lady Gowrie QLD that is committed to offering quality education and care to the children in their year prior to school. We are a single unit centre catering for 2 groups of children with a maximum of 22 children in each group. Children attend either Monday and Tuesday (8:15am – 3:45pm) or Wednesday, Thursday and Friday (9:00am – 2:15pm) during the QLD school terms.
About the role:
Upper Mt Gravatt Community Kindergarten has a part-time role available for an experienced Administrator. This role will see you being part of a Community Kindergarten which supports the local community’s families and children. You will be working in a small, passionate, and dedicated team. You will be primarily responsible for the smooth operation and efficient administration of the kindergarten, encompassing a wide range of duties including managing enrolments and accounts, ensuring compliance with regulations and maintaining positive relationships with families and the community.
Key Responsibilities:
- Office duties include greeting families and visitors.
- Manage enrolments, waitlists, service tours and correspondence.
- Maintain accurate student records and databases.
- Assist the Nominated Supervisors and teaching staff with administrative support and our ongoing Quality Improvement Plan.
- Manage compliance and mandatory reporting requirements, including those related to government funding and Central Governing Body reports.
- Collaborate and work closely with the bookkeeper to ensure timesheets, wages and other financial responsibilities are completed in a timely manner.
- Reconcile fees and invoices, assist with budgets and financial reporting and maintain financial records.
- Maintain resources and order new equipment and resources for the centre.
- Coordinate events and planning of excursions, professional development workshops, community engagement, annual kindergarten celebrations, parent-teacher interviews, Open Days, etc.
- Ensure policies and procedures, risk assessments, medical management plans and other mandatory documentation is maintained and current.
- Onboard our Parent Volunteer Committee each year, ensuring all relevant paperwork is completed and processed through all required regulatory bodies.
- Liaise with families, committee members, and external services in a friendly and collaborative manner.
- Maintain social media and update the website regularly
Requirements:
- Microsoft office experience, specifically Outlook, Excel and Word. Experience with Storypark, Canva and Xap is highly regarded.
- A high level of organisational and time management skills is required, with the ability to work both autonomously and collaboratively with our small staffing team and volunteer committee.
- Friendly, professional manner with exceptional oral and written communication skills
- Knowledge of the National Quality Framework, privacy laws, child protection regulations, the Early Years Learning Framework and Lady Gowrie QLD policies and procedures.
- Current Paid or Exemption Blue Card
- Experience in community-run kindergartens is desirable.
- Relevant qualifications such as a Certificate III or Diploma in Early Childhood Education and Care, Business Administration (or equivalent) would be highly regarded but not essential.
Hours:
- Commencing 1st December 2025
- 2 Days per week, 5 hours per day preferred (negotiable)
